Executive Assistant
Job description
Schultz CPA is looking for a new team member with exceptional breadth of skill and grit. The ideal fit is someone who can quickly transition from day-to-day administrative tasks to high-level communication with clients and internal team members. We see this role as a blend of many roles: project manager/event planner/writer/administrative assistant/sales & account assistant, and will support the CEO in all things sales, marketing, and operations. The ability to both give and take direction/feedback is essential for success in this role. This role is perfect for someone who thrives in a fast-paced environment that requires creative & critical thinking, a high level of care, and resourcefulness. The ideal candidate is a great conversationalist, has an eye for design, and geeks out in analytics/spreadsheets.
Strategic Support
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Facilitate staff meetings by structuring agendas, taking notes, and organizing work
Plan, coordinate, and execute varying types of internal and external meetings and events
Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the executive’s time
Proactively manage through any problems or obstacles that arise while completing everyday responsibilities
Provide a strong level of customer service to the internal team and the clients
Calendar and Travel Management
Coordinate, manage calendar and schedule appointments and meetings
Update calendars throughout the day
Understand client relationships to manage and maintain calendars
Proactively manage both personal and professional calendars
Coordinate both internal and client facing meetings and conference calls, including setting up the meeting room, ordering food, copying materials, prepping binders, ordering/checking AV equipment and other materials, etc.
Coordinate all travel logistics including flight itineraries, hotel rates and reservations, car services, with personal travel preferences
Operations/Administrative Support
Welcome and greet staff, executives and guests
Compile tax client tax returns (both paper and electronic)
Open, review, route, and disseminate interoffice and external mail, distribute correspondence and other material to department staff
Assist with basic client needs as they arise
Support sales by providing courtesy calls, emails, and letters to potential clients
Runs business or personal errands
Candidate Requirements
Strong attention to detail, communication skills and excellent judgment
Excellent typing skills, proper word usage, spelling, grammar, and punctuation. Able to perform dictation and transcription task
Ability to work within a fast-moving, small team, willing to roll up your sleeves and get things done
Extensive Microsoft Office Suite experience preferred (Word, Excel, PowerPoint)
Understanding of digital marketing and advertising a plus
2 – 4 years minimum previous experience as an Executive Assistant desirable
